How to setup events, with a quick diversion into locked codes!

On today’s agenda, we discuss how to set up a new event (talk), with a quick side track into the difference between Survey Codes and Talks, and how to get the data from your Survey Code into your event.
First off though, lets talk about the two ways to get a Talk on your account. One way is to set it up ahead of time, as we’re about to discuss, but the second way is by having any data come in on one of your Survey Codes.
Survey codes are the funnel that catches all of your audience data, and events are the bottle that all of that data is poured in to. The connection between Survey Codes and a specific talk is temporary (unless you decide to ‘lock’ a code which I’ll cover below).
Basically, as soon as the survey is opened for the first time, a 30 minute window is opened. If you have already set up an event ahead of time for that day, then the Survey Code is connected to that scheduled event (the funnel is put in the bottle).
Any feedback that comes in during those 30 minutes is collected together into the scheduled event, or into a newly created 'blank' event. That way none of your feedback is ever lost. Once those 30 minutes elapse, the Survey Code and the Event disconnect (the funnel is removed). If you have any stragglers, who respond outside that window they will come in as little bits of feedback in their own events, created from new windows of data, but you can always merge these stragglers into your existing event.
The great thing about this system is that its designed so that if you are giving the same presentation on two different days, you can use the same code without any worries, because the information will be separated by when the feedback comes in!
All that said, this means that if you didn’t set up an event, you’ll still get all of your Data, it will just show up like this:

No ‘Title’, no ‘Organization’, just feedback. You can, however, always add that information in at any point!
But that’s not what you’re here for! You’re planning ahead, and you want to set up your Talk before your event right? Well in that case, you’ll want to go to the ‘View Feedback’ (formerly ‘Talks’) page, and select ‘Add a Talk’ from the righthand side:

This will take you to the Talk Setup page. Here you can add your Talk Title (as well as pair it with one of your Speech Topics if you’re giving one of your signature talks), information about the Organization you’re speaking to, and information about the Event in question (like if its a Conference).

You can also provide contact information about your Event Point of Contact, and set up an automatic email to go out to them asking them for their feedback as well! Providing information to the ‘Talk Type’ and ‘Audience Type’ questions directly feeds into the ‘Format’ and ‘Speaks To’ tags on your Public Profile:

Then you can specify the date, whether the event is Live or Virtual, expected audience size and how much you’re being paid for the event (this is just for your records, no one but you will ever see this number).
Last but not least, you’ll see ‘Advanced Settings’ where you can lock a code to the event (hold on, I’ll get there). Once you click ‘Create Talk’ you’re all set, and you’ll now see this on your ‘View Feedback’ list, with no current data!
On the date of the scheduled Talk, the first time a survey is opened, all feedback collected in the following 30 minutes will all be put in your scheduled event. This is also why we recommend not testing your Survey Codes the morning of an event! Even if you back out immediately, you’ll still have opened the window, and your talk will still be ‘used’ when the data comes in later.
Now then, what’s this locked code business? Well, not all events are live interactions, or can expect feedback to be given immediately at the end of the event. Sometimes your recording a training for a company, and every time they hire a new employee, that employee watches the training and takes the survey. In that case, you’d end up with random responses coming in with no rhyme or reason!
In order to prevent that, we created the 'Locked Code' system! When a code is locked to a specific event, that means that no matter when the feedback comes in, it will always be collected into the same single event. This effects any feedback that comes in after the code is locked, regardless of when it arrives.
If you’re looking at your talk list, you can identify a locked code by the little padlock icon:

This also means that if you had a code locked to an event, and forgot about, and try to use that code again, all of that data will be sent back to that old event! We can move that data for you, just reach out to us over at [email protected], but just a good thing to remember, if you end up locking a code to an event.
